HOSTING UCLG-MEWA EXECUTIVE BUREAU MEETING  MARCH/APRIL 2015

Next UCLG-MEWA  Executive Bureau Meeting will be organized in March/April 2015 period. Local governments willing to host the meeting are required to contact İhsan İKİZER, UCLG-MEWA General Coordinator ((i.ikizer@uclg-mewa.org, 0212 511 10 10/120) until 15 December 2014, the latest. Applications will be reviewed in the Executive Bureau and Council Joint Meeting which will be held on 22 December 2014 in Adana (Turkey).

Obligations of the cities interested in hosting the meeting are as follows:

- To be or to commit to become a member of UCLG-MEWA,
- To be easily accessible internationally,
- To have facilities suitable for organizing an event with more than 300 participants,

  • To convey the invitation letters signed by UCLG-MEWA Secretariat General and the Host City, to the relevant persons,
  • To make the announcements of the meeting at the local and international level,
  • To cooperate with the UCLG-MEWA Secretariat General for the organization of the meeting,
  • To have an organization team who have a good command of at least two working languages of UCLG-MEWA,
  • To cover the flight and accommodation expenses of 5 UCLG-MEWA Secretariat personnel for the Executive Bureau, and Council, and 6 personnel for the Congress,
  • To cover the flight and accommodation expenses of 2-3 UCLG-MEWA personnel for the thematic sessions to be held,
  • To make the necessary logistic arrangements (flight and accommodation) for 2-3 UCLG-MEWA Personnel to visit the meeting venue, before the meeting date for the purpose of exploration, if deemed necessary,
  • To arrange a secretariat room to be used by the UCLG-MEWA personnel, during the meetings,
  • To cover the accommodation expenses of 2 persons from each UCLG-MEWA member local governments / associations / international organizations,
  • To carry out the airport-hotel-airport transfers of all the participant of the meeting,
  • To have a meeting venue which is easily accessible from the hotel,
  • To have a meeting venue with the necessary facilities and equipment for holding the meetings in three languages (English, Turkish and Arabic),
  • To provide simultaneous interpretation in three languages (English, Turkish, Arabic), during the meetings and thematic sessions,
  • To ensure that the meetings are audio and video recorded and deciphered,
  • To organize semidiurnal technical and cultural visits for the participants,

The hosting city may make some changes in the aforementioned provisions, if necessary, upon written consent  of the UCLG-MEWA Secretary General.
